2. The Brief

A good brief is key to achieving conferencing success.
How many people will attend? How many nights? What do you want to achieve?
You will now deal with a real person to discuss your needs.

3. Quote, Booking & Payment

You will receive a quote based on your brief and our discussions with you.
After your itinerary has been created, we will supply you with an easy “Book & Pay Link”
to send to all your delegates/visitors/attendees if you are not footing the bill.

4. On The Ground

You will be assigned an assistant from Vic Falls Conference Connect who is your
“on the ground” go to person to deal with changes, issues and add on’s.

Conference rooms:

There are eight conference rooms to choose from at The Elephant Hills Hotel, ranging in size to accommodate 14 to 500 people.

At the top of the scale is the Kalala Room which can comfortably accommodate 500 people. The room has modern audio and video equipment and a spacious stage area.
At the small end of the spectrum there are breakaway and boardrooms set away from the main conferencing area when privacy and seclusion are required.

Event planning and strategy

We will provide the strategy and booking of your event and the best possible group pricing based on our 20+ year relationship with suppliers.

Design

We can design & supply all creative applications, such as event logo’s, emailer invites, venue branding, and gifts. Our in-house design department is available to produce the required items on brief and on budget. We will even deliver the items to the destination and actually brand the venues for you too; you just simply arrive and enjoy the event without the usual stress. If media coverage is required, our extensive network of contacts in Africa can be tapped for coverage of your event.

Event management

Where applicable, a dedicated events consultant will coordinate the event (in conjunction with you, the client), from start to finish. This includes accompanying our clients to the event to ensure smooth running and control over budgets, etc.

What you should know about group travel

Airlines

Airlines work on a yield system. This means that they balance out the low fares with the high fares on a particular flight to get the overall amount necessary to meet the cost of flying the aircraft. As there are limited amounts of the low fares, a group fare is always higher.
Airlines consider a group to be nine people or more traveling together.

Activities

For groups of 10 and more for an activity we can negotiate special deals.
